Are you getting the most out of your Rezcontrol system? Here’s a walk through two of our most recent product updates – waitlist and Tasks.

Waitlist
New to Rezcontrol is the Waitlist function. This is vital when you are fully booked. In the event of a booking cancellation, Waitlist allows you to rebook a room quickly and easily with guest contact information being collected beforehand. This process prevents revenue loss through empty rooms.
Adding a reservation to the waitlist
The process of using this function is simple to grasp. A guest can be added to Waitlist through the same process as a regular booking. This allows all the relevant information such as preferred room type and contact details to be collected.

When a room has become available
Under allocations, you can see all the reservations currently waiting allocation and Waitlist bookings that cannot be allocated yet due to availability. When viewing in more detail, a red cross will appear next to the item when the booking cannot be accommodated.
If a room has become available, Rezcontrol will notify you that the booking needs to be allocated with either a green tick or amber exclamation mark. An amber exclamation mark demonstrates a room is available, however not in the room type requested. You will be notified with a green tick, when an exact room type is available for booking.

You can now deliver the good news to your prospective guests using the details you collected at the time of the enquiry and see if they would like to proceed with the reservation. Once a room is allocated, the booking will be automatically confirmed, and the guest will receive their confirmation email in accordance with your guest engagement setup.
Tasks
Our second new feature is Tasks. This function allows you to set reminders for select individuals or groups of users. You may want to link these tasks to a booking, for actions like prosecco on arrival or flowers in a room. The system also allows you to create stand-alone tasks for general front-of-house or maintenance duties.
Creating teams
When creating a task on Rezcontrol you can ensure that only the relevant members of staff are informed. You may want to split employees up by department or shift rotation. These teams can then be filtered down to specific team members.

Creating a task
You can create a task directly from a reservation. A booking must be saved before a task can be added to it. The first step is to proceed to the tasks tab, where the date will automatically be set to the date of the booking, although this can be changed if a task is due before arrival by clicking in the box.
You are then able to assign a whole team or filter users by the team to take ownership of the task. Enter the subject and any accompanying notes on the task.
Standalone tasks can be created by going into the task section in your notifications and clicking new task. You can then enter details and assign it to a user in the same way as you would as a task connected to a booking.

Upcoming tasks
The day a task is due, a notification will appear for each outstanding task for you or your team. Click on the bell icon to see all tasks. The table will then show you what time and date the task is due, who it is assigned to, a booking reference if applicable, and the task subject.
Tip: This can be printed and handed to staff who do not have access to a computer.
If a task is overdue, Rezcontrol will automatically send out an email to notify the creator. When a task is set as complete, management and the rest of the team will be informed the task has been completed.
